By-Laws of St. Margaret Mary PYO
As adopted 2005 - 2006

ARTICLE I
NAME AND MISSION

Section I: The name of the organization shall be St. Margaret Mary Parent Youth Organization of North College Hill.
Section II: Mission Statement: With the belief that the youth are a vital part of our parish’s commitment to Christ, the Parent Youth Organization (PYO) of St. Margaret Mary Parish seeks to nurture their spiritual and social needs through ministry opportunities for them, their families, and our parish.

ARTICLE II:
EXECUTIVE BOARD

Section I: The officers of this organization shall be a Spiritual Director who shall be the Pastor of St. Margaret Mary Church, a moderator, who shall be appointed by the Pastor of St. Margaret Mary Church, a Chairperson, a Vice Chairperson, a Recording Secretary, a Treasurer, and six (6) Trustees. These Officers and Trustees shall constitute the Executive Board of this organization.
Section II: The Executive Board shall be elected by ballot and plurality vote and will serve a two year term. To be elected you must serve as a Trustee before serving in any other capacity. Trustees shall be elected by plurality vote.
Section III: Vacancy occurring in office shall be filled by the Executive Board.
Section IV: The Executive Board shall meet each month.
Section V: Any motions must be made through an Executive Board member, put to a vote by the Executive Board, and passed by a majority of vote.

ARTICLE III
DUTIES OF THE EXECUTIVE BOARD

Section I: Duties of the Chairperson
• Presides at all meetings
• Calls special meetings
• Is an advisory member of all committees
• Keeps the Executive Board informed of what is going on

Section II: Duties of the Vice Chairperson
• Performs all of the duties of the Chairperson in their absence

Section III: Duties of the Recording Secretary
• Keeps an accurate record of each meeting, including type of meeting, name and title of officer presiding, date and place of meeting, approval of previous meeting minutes, record of reports, record of each motion with name of person who made it, record of counted votes, and roll call of members.
• Minutes should be recorded as to what is decided.
• Notes should be kept together in a special notebook
• Keeps a record of minutes for all Board meetings
• Signs all reports: Name, Recording Secretary

Section IV: Duties of the Treasurer
• Custodian of funds of the organization
• Keeps permanent records
• Reports monthly receipts, disbursements, deposits and balances off all accounts
• Signs reports
• Requests receipts for all bills paid

Section V: Duties of the Trustees
• Serves as hospitality committee at PYO in-house functions.
• Chairs all fund-raising events.
• Serves as Project Coordinators.

ARTICLE IV
DUTIES OF THE COMMITTEES

Section I: Audit Committee
• Audit treasury books biannually. Report findings at the next board meeting

Section II: Fund Raising Committees
• Surveys
• Market Day
• Candle Sale
• Box Top
• Walk-a-thon
• Turkey Dinner

Section III: Publicity Committee
• Handle all publicity for PYO activities and events
• Assemble newsletter
• Maintains bulletin board in church

Section IV: Scholarship Committee
• Coordinate yearly awards including notification, criteria and judging

Section V: Sunshine Committee
• Send cards to members for sickness, birth or death in the family

Section VI: Lifetime Membership Committee
• Coordinate yearly event

Section VII: Special committees shall be approved as the need arises.


ARTICLE V
AMENDMENTS

Section I: These By-Laws may be amended at any regular or special meeting by a two-thirds vote, provided the amendment was sent in writing to the Recording Secretary, presented at one meeting and voted on at the next.
ARTICLE VI
BOARD MEETINGS

Section I: The regular meeting of this organization shall be held the second Monday of every month unless otherwise ordered by the Executive Board. All meetings are open to the parish.

Section II: The order of business shall be:
Meeting called to order
Prayer
Pledge of Allegiance
Roll Call
Presentation of the minutes of the Board Meeting and Correspondence
Treasurer's Report
Report of Officers
Report of Standing Committees
Old Business
New Business
Adjournment

Section III: Motions
Motions must be presented to the Board by any Executive Board member. The motion must me made by one Board member, and seconded by another Board member. The motion will be put to a vote. The motion will pass by a majority vote.


ARTICLE VII
FUNDS AND EXPENSES

Section I: All funds belonging to this organization shall be deposited by the Treasurer in a bank designated by the Executive Board. The Auditing Committee of this organization shall audit all accounts.

Section II: Expenses incurred by any member representing this organization shall be paid from the treasury of this organization upon receipt or bill. Such expenses are to have the approval of the Executive Board, whenever possible, before expenditure is made.
